Family Terms of Service & Consent Agreement

1. OVERVIEW

Welcome to The Coping Nest.

The Coping Nest LLC (“Company”) connects families with trained specialists who provide child-centered support during challenging or stressful experiences.

By booking a session or using services through the Company, you agree to the following terms.

2. NATURE OF SERVICES

Services provided through the Company are:

  • Supportive and educational

  • Child-centered and developmentally appropriate

  • Designed to help children navigate and cope with life experiences

The Company is not a medical provider, therapy practice, or healthcare service.

Sessions are not therapy and do not replace professional medical, psychological, or mental health care.

If your child requires clinical or therapeutic support, you are responsible for seeking services from a licensed provider.

3. SPECIALIST RELATIONSHIP

Specialists are independent contractors and are not employees of the Company.

Each specialist is solely responsible for:

  • Their services

  • Their communication with families

  • Their professional conduct

The Company carefully matches families with specialists but does not guarantee specific outcomes.

4. SESSIONS

Sessions may be conducted virtually or in person.

Families are responsible for providing a safe, appropriate, and supervised environment for the child during sessions.

The Company does not supervise sessions directly and is not responsible for the child’s safety during sessions.

A parent or legal guardian must remain accessible and available at all times during the session and is responsible for the child’s supervision and safety.

5. PAYMENT

  • Session pricing is determined by the Company and may change over time

  • Payment is required to confirm a session

  • Sessions are not confirmed until payment is completed

All payments are processed securely through Stripe.

6. CANCELLATION POLICY

  • Cancellations made 24+ hours in advance are eligible for a full refund

  • Cancellations within 24 hours are non-refundable

Rescheduling may be offered based on availability.

If a specialist cancels, the Company will assist in rescheduling or issuing a refund.

7. COMMUNICATION

Your specialist will contact you prior to your session.

Families are encouraged to share relevant information in advance to support a personalized experience.

8. TECHNOLOGY REQUIREMENTS

For virtual sessions, families are responsible for ensuring access to a stable internet connection and appropriate technology.

The Company is not responsible for disruptions caused by technical issues, connectivity problems, or platform interruptions.

9. LIMITATION OF LIABILITY

By using services through the Company, you acknowledge and agree:

  • Services are supportive in nature and outcomes may vary

  • The Company does not guarantee specific results or outcomes

  • The Company is not responsible for the actions, omissions, or services of independent specialists

  • Participation is voluntary and at your own discretion

To the fullest extent permitted by law, the Company shall not be liable for any direct, indirect, incidental, or consequential outcomes related to services.

10. CONFIDENTIALITY

Information shared with specialists will be treated with care and respect.

However, the Company cannot guarantee complete confidentiality in all circumstances.

11. RECORDING & PRIVACY

Sessions may not be recorded, shared, or distributed without the consent of both the specialist and the Company.

This helps protect the privacy and comfort of all participants.

12. FORCE MAJEURE

The Company is not responsible for delays, cancellations, or disruptions caused by events outside of reasonable control.

These may include, but are not limited to:

  • Illness or emergencies

  • Internet or technology issues

  • Weather or travel disruptions

  • Other unforeseen events

In such cases, reasonable efforts will be made to reschedule sessions.

13. DISPUTE RESOLUTION

In the event of any dispute, both parties agree to first attempt to resolve the matter informally and in good faith.

If a resolution cannot be reached, the dispute may be resolved through binding arbitration in the State of Michigan.

14. AGREEMENT & CONSENT

By booking a session, you confirm that:

  • You understand the nature of services

  • You agree to these Terms of Service

  • You are the parent or legal guardian of the child receiving services
